Job Description
Primary Function of Position:
This role provides administrative and logistical support for the organization of DACH marketing and sales events in coordination with local marketing and events team. Additionally, this position will aid in the creation of events collaterals, reporting to the Assoc. Manager Marketing Programs DACH.
Roles and Responsibilities:
Events
- Coordinate events for the DACH region.
- Manage all task related compliance activities.
- Organize metropolitan region activities driven by sales (location, accommodation, system, speakers).
- Organize demo system delivery and pick up with EU Mobile System Team and Sales
- Update DACH event calendar
- Provide support to Marketing Event Team Members with the organization of tradeshows.
Administrative Tasks
- Monitor budget and financial follow up for these events and align with Assoc. Manager Marketing Programs DACH.
- Create contracts, new vendors, process Purchase Orders (POs) and invoices, for these events and get managers approval and signatures.
- Prepare and send speaker fees agreement and organize their travel & accommodation when applying.
- Support monitoring and long-term planning of events.
Marketing Communication
- Coordinate communication activities for events and customer-facing marketing projects, working closely with internal stakeholders and external partners.
- Support the production, ordering, and delivery of promotional materials for events, including purchase order administration and budget tracking.
- Coordinate and support the development, localization, and maintenance of customer-facing marketing materials in collaboration with cross-functional stakeholders, including brochures, flyers, and digital assets.
- Coordinate translation reviews and manage the review and approval process for marketing materials, working with Legal, Clinical, and Regulatory Affairs teams to ensure timely completion.
Floating Equipment
- Support the floating equipment pool for the DACH region.
- Further develop and optimize floating equipment booking processes.
- Coordinate demo products.
Qualifications
Required Knowledge, Skills, and Experience:
- Apprenticeship or bachelor’s degree or equivalent experience in event management, marketing, communication, preferably acquired in an international, fast paced and changing environment.
- 1 year work experience in events management and / or marketing.
- Languages (spoken and written): German native speaker, fluency in English required.
- Good interpersonal, verbal, and written skills coupled with ability to interact with a variety of departments and customers (such as marketing, sales, finance, and healthcare professionals).
- Strong organizational skills and ability to work in a team-environment providing cross- functional support.
- Strong interest in multimedia and digital communication, with an understanding of brand design, visual identity, and linguistic consistency across communication materials.
- A keen ability to coordinate projects, organizing, prioritizing, and coping with various tasks.
- Flexible and reliable, and strong attention to details.
- Good knowledge of the MS Office product suite.
- Travel up to 10% -15% required, mostly in the DACH region (including weekends).
- This position is based in Freiburg (Germany).
