Job Description
Primary Function of Position
As a member of the People Services team, the Associate People Services Specialist will play a key role
in supporting HR programs and policies, processes, and systems to ensure that HR service delivery is
timely, efficient, and compliant. provides first-line HR operational support to employees, managers, and
HR stakeholders across Intuitive Malaysia market.
The role is responsible for delivering high-quality employee lifecycle administration, HR case
management, data maintenance, reporting support, and policy guidance while ensuring compliance with
Malaysian labor requirements and regional People Services standards. S/he will work collaboratively by
building strong relationships that foster trust and accountability across the organization in support of the
company mission, vision, and core values. S/he will act as an escalation point and liaison for resolution
of more complex cases.
Role & Responsibilities:
Employee & Manager Support
- Serve as the first point of contact for HR queries from employees and managers.
- Resolve inquiries through HR case management tools, knowledge bases, and standard operating procedures.
- Deliver exceptional customer service aligned with service level agreements (SLAs).
- Provide guidance on HR policies, procedures, and employee programs.
Employee Lifecycle Administration
- Support onboarding, transfers, promotions, organizational changes, and offboarding activities.
- Process employee data transactions accurately within HR systems.
- Ensure employee records are maintained in compliance with data privacy requirements.
- Coordinate employment documentation and employee letters.
- Liaise and coordinate support from and escalation to other Subject Matter Experts (SME). e.g., local HR
- Business Leaders (HRBLs), HRIS and Centers of Expertise (COE) for collaborative case management.
HR Case Management
- Manage and resolve HR cases within agreed service levels.
- Escalate complex cases to HRBPs, COEs, or specialists as appropriate.
- Monitor case queues and ensure timely closure.
- Identify recurring issues and contribute to process improvements.
HRIS & Data Management
- Maintain employee data in Workday, SuccessFactors, or other HR platforms.
- Perform data quality audits and corrections.
- Support organizational changes and mass updates.
- Generate standard HR reports and dashboards.
Compliance & Governance
- Ensure adherence to Malaysian employment regulations and company policies.
- Support audits, documentation reviews, and compliance activities.
- Maintain confidentiality of employee information.
- Follow regional APAC governance and escalation procedures.
- Propose and execute People Services internal controls. Support integrity of employee records and HR systems performing audits.
Continuous Improvement
- Participate in process standardization initiatives.
- Contribute to knowledge article creation and maintenance.
- Identify automation opportunities and workflow improvements.
- Support People Services transformation and change management initiatives.
Qualifications
Required Skills and Experience
- Bachelor’s degree in human resources, Business Administration, Management, or related discipline
- Minimum 4 years of experience in HR Operations role in an international/Global environment.
- Familiar with HR ERP systems and office tools. - Workday, ServiceNow, etc.
- Experience working in a fast-paced technology company and comfortable operating in a complex, changing work environment.
- Manufacturing industry experience preferred with supporting employee lifecycle processes in a global environment.
- Demonstrated ability to work independently, initiate and identify solutions whilst prioritizing work and meeting deadlines.
- Strong analytical skills, self-motivated and goal-oriented individual, passionate about improving business performance.
- Collaborative team-player attitude with solid communication skills and customer service orientation.
- Proficient written and verbal skills in English, and local language where required.
