Primary Function of Position:

Provide administrative assistance to the Southaven Operation and assume special projects as required to meet departmental goals. Primary responsibilities include facilities support (facilitating day-to-day operations), event planning, admin support to Sr Director of Service Operations- Southaven, and assist in managing training documentation.

Roles and Responsibilities:

• Direct administrative support to Sr Director Service Operations- Southaven (calendar, travel, expense reports, etc.) and Southaven leadership team as required.
• Ensure local service vendors are performing as required (e.g. janitorial, canteen replenishment, trash disposal, smock cleaning, etc.)
• Ensure routine facility PM services are performed (e.g. HVAC, air compressor, copiers, etc.)
• Maintain databases, spreadsheets, project trackers, etc. to be current and accurate (e.g. local vendor contact list, Facilities and IT requests, employee birthdays & work anniversaries etc.)
• Maintain Southaven facility calendar for various annual renewals, such as Certificate of Occupancy, Fire inspection, Privilege Tax License, First Aide/CPR Training, etc.
• Provide as required team event scheduling/planning, expense management, audit support, updating of floor display monitors, etc.
• Coordinate and support annual employee gala event to include venue sourcing, contract negotiations, catering, budget tracking, etc.
• Provide ISU curriculum management support for Southaven employees
• Serve as project manager for special and ongoing projects.
• Assist in the development of presentations and facility wide communications
• Identify opportunities for process improvement and drive them to closure
• Manage vendor relations, agreements and invoices.
• Attend staff meeting and follow up on task.


Qualifications

Skill/Job Requirements: 

Competency is based on: education, training, skills and experience. In order to adequately perform the responsibilities of this position the individual must have:

• 3-5 years experience in administrative/support role, preferably in a medical device company.
• Strong computers skills (Excel/MS Word, Powerpoint), prefer experience in computer ERP systems such as SAP .
• Ability to independently work in a dynamic fast paced work environment, with minimal supervision and deal with problems/issues in a professional manner.
• Must possess excellent communication skills, attention to details, and the ability to multitask.
• Self-starter with ability to take leadership in unstructured environment.
• Demonstrated ability to learn new software systems quickly
